Reporting to the Manager, Library and Learning Commons, the Library Assistant will perform a variety of library and clerical duties in a highly automated environment requiring knowledge of library techniques and procedures. Interaction with the public is routine, as this position is the initial contact for learners, staff, and visitors seeking assistance within the Library and Learning Commons (LLC).

Specifically, the incumbent is responsible for:

  • Reference / Circulation Desk Services.
  • Collection Development.
  • Other Duties as Required.

The position requires evening and weekend shifts.


Reference/Circulation Services

  • Responsible for all aspects of circulation including daily circulation duties for the loaning and discharging of library materials, processing overdue and billing notices, overseeing shelving and stack maintenance, and contacting patrons as required.
  • Responsible for the library premises and collection of fines.
  • Responsible for opening and closing procedures.
  • Facilitates access to library materials and information services for staff and learners. Answers queries regarding library services, referring complex and/or detailed queries to the Supervisor.
  • Provides timely assistance to staff and learners, in person, over the phone, and/or via email, using effective communication and/or problem-solving skills.
  • Under the direction of the Manager, Library and Learning Commons, may provide reference assistance, referring complex queries to Librarians.
  • Provides instruction and assistance to library patrons on the use of electronic and print resources, including the library’s online catalogue.
  • Delivers orientations and tours of the LLC, may be required to assist in the delivery of bibliographic instruction sessions.
  • Prepares certain components of bibliographic instruction sessions as assigned. (e.g., handouts, Powerpoint preparation, evaluation forms).
  • Knowledge of library partnerships and memberships (e.g., TAL, CCDL, LHCADL) and the ability to convey this knowledge and the benefits of such memberships to library patrons.
  • Troubleshoot library equipment such as public workstations, photocopiers, and scanners.
  • Promotes the use of the library through displays, orientation sessions, and the distribution of information regarding library materials and services. Prepares and updates promotional materials as assigned.
  • Updates and develops online content related to library and information services in the LSS as assigned.
  • Responsible for maintaining daily circulation statistics.
  • Provides and processes Inter-Library Loan requests.
  • Processes audiovisual equipment and media booking requests (signing items in and out and ensuring items are in working order).

Collection Development

  • Responsible for acquisition procedures, including receiving and processing library materials, as requested by Supervisor.
  • Tracks the status of acquisitions.
  • Processes, maintains, and creates library catalogue records for reserve collection materials.
  • Liaises with the Copyright Officer to ensure audiovisual materials are under valid copyright license.
  • Weeds the existing collection as required.
  • Provides acquisition recommendations to the Information Specialist based on the information needs of learners and staff.

Other Duties

  • Participation in College events as required (e.g., Open House, New Student Orientation).
  • Provides coverage for other team members during absences.
  • Other duties as required that contribute to the goals and objectives of the LLC.


Minimum Qualifications

  • Diploma in a related field (Library and Information Technology)
  • 1 year of experience
  • An equivalent combination of education and experience may be considered
  • The position requires evening and weekend shifts.

Preferred Qualifications

  • Working in a Library environment, preferably in a post-secondary institution.
  • Preference will be given to candidates with a credential specifically relevant to Library operations.
  • Other combinations of experience and education will be given consideration.
